Creating an Announcement
 

You can use announcements to share information with your users. For instance, you may wish to inform them about an update to an application on a specific date or about scheduled downtime.  

Announcements are displayed to all users in the upper right corner of the App Store.  You may also choose to email an announcement to a specific user or group of users.

 

This short guide will show you step by step how to:

 

 

 

Create Announcement

 

Using your preferred web browser, navigate to the URL for your Apporto system, for example, “mycollege.apporto.com”, and log in to the system using your Admin credentials.

Click the Announcements icon in the Navigation panel.

The ‘Announcements’ screen displays.

The Announcements screen shows a listing of all currently active announcements. Each entry in the list shows the TITLE of the announcement, the name of the user that created the announcement (AUTHOR NAME), and the date and time at which the announcement was initially published (DATE PUBLISHED).

Click New to create a new announcement which will be displayed in the App Store for all users.  Later, you may also email the announcement to specific user(s).

The ‘Create Announcement’ dialog displays.

Enter a title for the announcement in the Title text box.

 

In the App Store, the Title will be displayed in the ANNOUNCEMENTS section.  When an announcement is sent by email, the Title serves as the email subject.

Enter the text for the announcement in the Body text box.

 

In the App Store, the Body is displayed when users click on the announcement Title.  When an announcement is sent by email, the Body serves as the email body.

If you want to include a summary with the announcement, click the Edit summary link then enter the announcement summary as desired.

 

Click the Hide summary link to close the Summary text box.

When all desired content has been entered, click Submit to create the announcement.

The Create Announcement dialog closes and the Announcements screen refreshes to display the new announcement with a ‘confirmation’ message at the top of the screen.

 

The announcement is automatically displayed to all users in the ANNOUNCEMENTS section in the upper right corner of the App Store.  You may also email the announcement to one or more users.

 

Send Announcement by Email

 

Announcements can be sent via email to one or more users.

Click the Users icon in the Navigation panel.

The ‘Users’ screen displays.

The screen shows a list of all authenticated users for your Apporto system.

Select the checkboxes for the user(s) to whom you wish to send an announcement.

A checkmark indicates the announcement will be sent to the associated user. An empty checkbox indicates the announcement will not be sent to the associated user.

Click the Update options link.

The screen refreshes to display the ‘Update options’ menu.

Select the announcement you want to send from the Send email section of the Update options menu, and click Update.

When the email is successfully sent, a confirmation message displays at the top of the screen.
